About batch detail records
Batch Detail records are individual transactions within a Batch. In each detail record, organizations can enter pledge or gift payments along with any additional information associated with the pending transaction, secured fund information, and gifts in honor or in memory of individuals.
The sum of all entered transactions must balance out the control total amount recorded on the Batch Header in order for the Batch to post.

Split |
Split a single payment among different Funds, Appeals, or toward Pledges. When you create a new split, you can allocate a specific portion of the total transaction any way you want. A number will be assigned to the split once saved and the balance of the remainder will display on the top bar. Create additional splits until the remainder is zero.

Document Number | The document number associated with the transaction record. |
Prospect | The prospect associated with the transaction. |
Transaction Type |
The type of transaction. ClearView Batch currently supports the following Transaction Types:

If the Transaction Type is set to a Pledge, if any open pledges are associated with the prospect, a warning icon appears. If you hover your mouse over the warning icon, a message displays asking if you want to apply a payment to an open pledge. If so, you can click the link and a new window will display allowing you to select a pledge.

Payment Amount |
Amount of the transaction. For Pledges, if there is no physical reciept of a payment, enter $0.00 in the field.

Method of Payment These LOV fields are associated with coded tables.
If your organization is capable of using credit card vaulting, any information entered on these records will go through SofTrek's tokenization procedure. For more information, please review Credit Card Vaulting.

Date | Date of the transaction. |
Gift Type | The type of gift. |
Gift Usercode2 Description | A customizable coded table field used by organizations to add a field to Batch Detail records. |
Fund | The Fund associated with the transaction. |
Classification | The Classification code of the gift or payment. |
Gift Usercode1 Description | A customizable coded table field used by organizations to add a field to Batch Detail records. |
Est. Value | Total estimated value of the transaction. |
Volunteer | A volunteer prospect associated with the transaction. |
Owner | The solicitor associated with the transaction. |
Unit | Unit associated with the transaction. |
Posting Rule | Identify a rule to initiate when the transaction is processed, such as a custom match plan. |
Note | A free-text field with a 4000 character limit used to record additional information associated with the transaction record. |

Acknowledge? |
Select whether the transaction will be acknowledged. When set to Yes, premium benefits will be associated with the transaction.

Receipt Party |
Identify a prospect to receive the tax credit for the gift. |
Letter |
Indicate what type of letter will be sent to the prospect. |

Reason |
A free-text field normally used to identify the purpose to the gift record. This field is open to free use by all organizations, but typically, the field is used to describe adjustments.

User Number 1 | A customizable numeric field used by organizations to add a field to Batch Detail records. |
Year | A free-text number field with a 4 character limit used to record the year of transaction record. |
CR Account # | The credit card ledger number used by your organization. |
DB Account # | The debit card ledger number used by your organization. |
User Text 1 | A customizable free-text field used by organizations to add a field to Batch Detail records. |
User Flag 1 | A customizable flag field used by organizations to add a field to Batch Detail records. |
Premium(s) Declined | Select whether or not a premium will be granted with the transaction. |
Create Soft Credit | Select whether or not the transaction will create a soft credit. |
Create Matching Gift | Select whether or not the transaction will create a matching gift. |
Anonymous |
Select whether or not the transaction is hidden. If set to Yes, this transaction record will be hidden from any user without view privileges.

Benefit | A monetary value amount for a beneficiary designation. |
Planned Gift | Associate the transaction with a Planned Gift agreement. |
Proposal | Associate the transaction with a proposal. |
Pledge
Billing Party |
The prospect making the pledge. |
Frequency | Agreed frequency of payment. |
First Reminder |
Set a date to remind the prospect of the first payment. |
Expiration | Last day of the Pledge. |
Security
Name |
Name of the stock or bond. |
Security Type | The type of security fund being received. |
Evaluation Source | The source used to evaluate the value of the stock, such as Wall Street Journal. |
Date Evaluated | The date the evaluation was performed. |
Value |
Value of the secured fund. Low $: Low stock value. High $: High stock value. Medium $: Mid stock value. These values are collected from an evaluation source.

How Received | A free-text field to describe how the transaction is received. |
No. of Shares | A numeric field used to identify the number of shares associated with the stock portfolio. |
Certificate # | A field to record certificate numbers of the stocks. |
Full Amount | The full value of the gift amount to be received by your organization. |
Note | A free-text field with a limit of 4000 characters, to be used to record any note associated with the transaction. |
