Glossary of terms

The default version of the ClearView application adheres to understanding the terminology explained in the following glossary.  As an organization, you may have chosen to change certain default terms to others that are standard for your own organization. 

Familiarize yourself with the following terms in the context of the ClearView application in order to make sense of the help documentation, default interface terms, database integration and utilization of the program.  A suggested way to become familiar with the necessary terms is to note organizational equivalents.

acknowledgment A letter or receipt sent by an organization to a contributor that recognizes a gift or payment.  See also mail.
action Each individual interaction with a prospect is referred to as an action.  See also action - foreground and action - background.
actions (record) Refers to the action record of a prospect record that stores information about any type of interaction with that prospect.  See also action.
action - background An interaction with a prospect that is indirectly generated by an organizational system or a process, rather than related to direct a interaction with a prospect.  Some examples of background actions are mass-mailings, and automatic email updates.  See also action and action - foreground.
action - foreground An interaction with a prospect that is directly generated by the action’s owner, rather than by an organizational system or process.  Some examples of foreground actions are mailing a handwritten thank you card, and calling a prospect to arrange for a lunch meeting.  See also action and action - background.
additional demographics (record) Refers to the additional demographics record within a prospect record that stores information such as gender, maiden name, number of children, social security number, date of birth, and others.  See also prospect and prospect record.
administrative settings Administrators of ClearView have access to the administrative settings screen, which allows administrative users to define roles and set permissions for all users.  
appeal A specific event or cause for which donations are solicited from prospects.  A group of appeals together can form a campaign.  Some examples are an appeal to help fund a new stove at a soup kitchen, or an appeal to support a less fortunate community member.  See also campaign.
aliases (record) Refers to the aliases record of a prospect record that stores information about any alternative names used by a prospect.  See also prospect and prospect record.
asked Refers to the default sixth opportunity pipeline stage in which an organization has submitted and reviewed the opportunity proposal with the prospect, and are awaiting a response.  See also opportunity, opportunity pipeline, opportunity pipeline stage and opportunity proposal.
associated party A prospect record linked to another prospect’s gift record in order to receive soft credits.  See also corporate link, family link, gifts (associated), link, prospect, prospect record and soft credit.
attachment A document, image, or other file uploaded into ClearView and linked to specific information within a prospect record; either prospect details, an action, an opportunity, or prospect research.
attributes - prospect records Refers to information that further defines a prospect such as opt-in/-out preference for solicitations, mailings, emails, calls, etc., and donor preference for anonymity. Additional attribute fields are available, and organizations can define them to include prospect information they deem important. For example, organizations with clearly defined criteria for Annual Fund, Major Giving, and Planned Giving donors might use an attribute to classify a prospect according to those criteria. audit The time stamp and login of when and who created or edited a record.  See also record.

batch Refers to a set of payments that have been entered as a group into the ClearView database and then applied to applicable prospect payment records.  See also payment and prospect record.
breadcrumbs Links appearing underneath the navigation menu that give a user access to recently visited pages.  See also navigation menu.

campaign A fundraising effort that is subdivided into appeals.  Campaign may also refer to a direct mailing letter campaign, which is one mailing occurring on a specific date.  See also appeal.  
channel The medium used for an appeal (e.g. mail, email, website, phone, etc.).  See also action and appeal.
code One of a limited set of user defined values available for entry into a related field.  For example, CH may be the code for “Chairman” in the prospect record title field.  See also field and prospect record.
complete Refers to the default eighth and final stage within an opportunity pipeline in which the opportunity has been acquired by the organization and no further action is required.  See also opportunity, opportunity pipeline and opportunity pipeline stage.
configuration Many features within ClearView can be configured, including dashboards, panels, and VAE screens.  The ability to configure features within ClearView is based on individual user roles and permissions, set at an administrative level.  Some configuration options can only be managed through Client Services.  See also administrative settings, dashboard, panel and VAE screen.
connections Refers to a connection between two prospects as defined by the code set on the connection record.  For example, two prospects may be connected as cousins or as golf partners.  Types of connections are configured to meet an organization’s specific needs.  A connection may or may not convey soft credits from one prospect record to another, depending on the code used to define the relationship.  See also corporate link, family link, prospect, prospect record and soft credit.
copy Refers to the copy button on a dashboard that allows users to make a copy of that dashboard, which then makes the copy configurable by the user.  Copy permissions are set by the ClearView administrator.  See also configuration and dashboard.
corporate (record) Refers to the corporate record of a prospect record that stores information such as an employer ID number, annual sales (if applicable), and defines plan matching if the prospect is giving in association with a matching gift plan.  See also matching gift plan, prospect and prospect record.
corporate link For the purpose of applying a soft credit to a prospect record when a corporate relationship is the reason that soft credit is due, a corporate link is created to designate where a soft credit should be applied.  See also family link, hard credit and soft credit.
CRM Stands for "Constituent Relationship Management"; ClearView is a part of SofTrek Corporation's overall CRM system.  Learn more ...
cultivating Refers to the default fourth opportunity pipeline stage in which an organization is developing a deeper relationship with the prospect prior to asking for the opportunity.  See also opportunity, opportunity pipeline and opportunity pipeline stage.

dashboard A single screen representing a workspace that displays the most significant information for a user’s purposes when utilizing that dashboard.  Dashboards are configured by the user or on an organizational level.  Based on permissions, a user may have one or many dashboards, each configured for different reasons according to the work being done.  Dashboards convey information through the use of panels.  See also configuration and panel.
database Stores data that is accessed and displayed by the ClearView application.
data file Structured information a software program can read that can take on the form of a simple text file with values separated by commas, CSV (comma delimited), or other formats.  See also lockbox.
data warehouse As part of the overall database, data warehouses collect and transform the structure of data to dramatically reduce the amount of time necessary for accessing reports.
designations Opportunity records can include designations, which is a section of the record that allows you to spread gifts across multiple funds or appeals in dollar amounts or percentage values.  See also opportunity.
donation A gift transaction type that is an outright immediate payment to an organization, where the gift and payment are received and entered together. Donations are most often gifts of cash, stock or other tangible money, but can also be goods or services.  See also batch, gift, gifts (record) and gift transaction types.
donor A prospect who has given a gift or gift-in-kind contribution to an organization.  See also gift, gift-in-kind and prospect.
drop-down menu A listing of application options or features.

EFT Stands for “electronic funds transfer” and is the automatic crediting and debiting of bank accounts via electronic transfer.  See also merchant account.
encryption Using industry-standard methods for making credit card or other sensitive information readable only to authorized users.
export Refers to exporting information out of ClearView and into another form of data file, such as a Microsoft Excel file or a PDF file.

family link For the purpose of applying a soft credit to a prospect record due to a familial relationship, a family link is created to designate where it should be applied.  See also corporate link, hard credit and soft credit.
favorite A prospect record that is marked as having special preference for reasons determined by the individual user.  See also favorite group, prospect and prospect record.
favorite group A group containing prospect records all sharing the same special preference for reasons determined by the individual user managing the group.  See also favorite, prospect and prospect record.
field Any area of a screen that allows users to input information.  See also label.  
filter Applying a filter to a list of results will narrow results to only fall within the set filter criteria.  See also results.
foundation (record) Refers to a foundation record within a prospect record that stores information such as details about giving through a grant and submission dates associated with a grant.  See also prospect and prospect record.
fund A designation or purpose for money received.  A fund does just that; it funds an appeal.  Each appeal can be associated with only one fund, but a fund can be associated with several appeals.  See also appeal.

gift An expectancy to receive money, either immediately, in the future, or gradually over time, which can come in the form of four different gift transaction types.  See also gifts (record), gifts (associated) and gift transaction type.
gift-in-kind A tangible item or service given to an organization that is not money.  For example, a donor gives furniture to a homeless shelter.  A gift-in-kind is not recorded as a gift transaction.  See also gift.
gift lifetime pledge A gift transaction type that is a commitment to make a payment on behalf of someone else on a regular basis without a known end date (e.g., "I will give you $15 per month on behalf of my daughter.").  See also gift, gifts (record) and gift transaction types.
gifts (record) Refers to a gift record within a prospect record that stores a variety of information such as gift amounts, gift types, and the appeal to which a gift was applied.  See also gift, prospect and prospect record.
gift transaction type The form in which a gift is given.  See also gift, gifts (record), gifts (associated), donation, pledge, lifetime pledge and gift lifetime pledge.
gifts (associated) Refers to a gifts (associated) record within a prospect record that stores information about soft credits linked to that prospect.  See also gift, prospect and prospect record.
greeting The salutation used to greet a prospect in any written correspondence.  A greeting may be either formal (e.g., “Mr. Doe”) or informal (e.g., “John”).
greetings (record) Refers to a greetings record within a prospect record that stores information on how a prospect should be greeted in mail correspondence.  See also greeting, prospect and prospect record.

hard credit An accounting record of either a gift or a payment directly associated with a prospect record.  See also gift, payment, prospect record and soft credit.
honor party A prospect record connected to another prospect’s gift on a per gift basis for the purposes of identifying the individual(s) or organization(s) inspiring the gift.  See also gift and prospect.

ID number The unique identifying number of a prospect record.
identified Refers to the default first opportunity pipeline stage in which an organization has acquired the prospect’s name and related contact information.  See also opportunity, opportunity pipeline, and opportunity pipeline stages.
interest A way of tagging prospect records to group them into subsets based on prospects’ interests.  Interests could potentially relate to hobbies, skills, church affiliations, events participation, or any number of criteria that an organization defines to categorize records in a way that helps create a clear picture of specific groups of prospects.  See also prospect and tag.

Jaspersoft An open source Java reporting tool used in the development of the ClearView application, as well as a tool accessible by users to create and run ad hoc reports, organized into domains and topics.
Java Refers to the programmer code language used to build the ClearView application, as well as the Java technology developed by Sun Microsystems.

label The text associated with a field.  For example, “City” labels the city field of an address record within a prospect record.  All labels are set to ClearView application defaults unless organizations choose to configure labels to meet their own needs.  See also field.
lifetime pledge A gift transaction type that is a commitment to make a payment to an organization on a regular basis without a known end date (e.g., "I will give $15 per month beginning next month for the rest of my life.").  See also gift, gifts (record) and gift transaction types.
link Used in reference to a family link or corporate link between two prospect records.  See also corporate link, family link and soft credit.
lockbox A PledgeMaker database utility for importing many types of information, including gifts and prospects.  See also data file.
lookup Represented by a magnifying glass icon, a lookup allows you to search for available values that can be applied to the field associated with the lookup.

mail (record) Refers to a mail record within a prospect record that stores information such as dates, costs, and appeals associated with mail sent to that prospect.  See also segmentation, prospect and prospect record.
matching gift plan A fundraising tool that associates a donor with a third party; for every gift given by a donor, a third party will also make a gift.  For example, an employer matches employee donations toward a local charity, dollar for dollar.  See also gifts (record) and corporate (record).
Melissa Data (company) The manufacturer of the Melissa DATA software package and other contact data quality and mailing solutions.
Melissa Data (software) An optional address standardization software package.
membership A fundraising method that is a purchase rather than a gift, and includes certain benefits, such as a pass to an organization’s facilities.  Major donors to an organization might be "lifetime members" after giving a substantial gift.  See also subscription.
membership - gift A membership purchased by a prospect as a gift for another prospect.  See also membership.
membership - reinstated A membership that lapsed beyond its expiration date, but has since been purchased again and reinstated back to active status.  See also membership.
membership - renewed A membership that is repurchased for another term on or before the current membership expiration date.  See also membership.
memberships (record) Refers to a membership record within a prospect record that stores information on current and past memberships held by the prospect.  See also membership.
memo A user generated piece of information attached to a prospect record as a whole, as opposed to associating the information with a specific transaction within the prospect record.  See also note.
memos (record) Refers to a memo record within a prospect record that stores information on memos associated with that prospect.  See also memo, prospect and prospect record.
memorial party A prospect record linked to another prospect’s gift on a per gift basis for the purposes of identifying the individual(s) or organization(s) inspiring the commemorative donation.
merchant account An account establishing an organization with a third-party payment processing service that allows organizations to accept credit card payments.

navigation menu The black bar across the top of any ClearView screen with a variety of navigation links that can be configured on a user or organizational level.
note A user generated piece of information associated with a particular transaction within a prospect record.  See also memo.
notes (record) Refers to a notes record within a prospect record that stores information on notes associated with that prospect.  See also note, prospect and prospect record.
notification A message about a prospect record generated by a user and intended for another user’s attention.  Prospect notifications relevant to a user can be displayed on a dashboard using the prospect notification panel.   See also dashboard, panel and prospect.
notify party A prospect record that receives notification indicating a gift was given by a second prospect.

opportunities (record) Refers to an opportunities record within a prospect record that stores information on opportunities associated with that prospect.  See also opportunity, prospect and prospect record.  
opportunity Refers to the potential that an organization has to obtain something of value from a prospective donor (e.g., major gift, board membership, bequest, etc.). Acquiring an opportunity involves tracking a close relationship with a prospect through actions within an opportunities record.  The record also stores other information such as progress made within an opportunity pipeline.  See also action, tracks, opportunity pipeline, opportunity pipeline stage and opportunity type.
opportunity pipeline A prescribed sequence of stages predetermined by an organization involving a series of actions taken toward acquiring an opportunity.  See also action, tracks, opportunity and opportunity pipeline stage.
opportunity pipeline stage Part of an opportunity pipeline, a stage is comprised of a track of actions specific to that stage.  The default sequence of opportunity pipeline stages is as follows: identified, validated, qualified, cultivating, soliciting, asked, stewarding, and complete.  See also entries for each aforementioned stage, as well as action, tracks, opportunity, opportunity pipeline and opportunity proposal.
opportunity proposal Refers to the document an organization writes to aide in acquiring something of value from a donor, typically containing detailed information on what the organization hopes to acquire from the prospect and why it would benefit the prospect to give.  See also opportunity.
opportunity type The type of gift or service that an organization is trying to acquire from a prospect.  For example, a major gift, board membership, sponsorship of an event, and others.  See also opportunity.
Oracle (company) The manufacturer of Oracle database software.
Oracle (software) The database software on which the PledgeMaker database is built.
order A fundraising method that is a purchase rather than a gift.  An order is a sales transaction in which a prospect buys merchandise provided by an organization.
owner The account manager for a prospect.  See also solicitors.

package A code applied to an appeal that describes the actual message and packaging method used in a mailing or other solicitation.
panel A configurable display of information which can be chosen from the panel library and placed on a dashboard, providing a window into a certain type of information.  Many panels offer immediate access to further information of that kind.  See also dashboard and panel library.
panel library When adding a panel to a dashboard, the panel library houses all of the available panel options and is searchable.  See also dashboard and panel.  
payment Actual monetary funds received from a gift and/or donation.  See also gift and donation.
payment method The way that a payment is made.  For example, with cash, a check, or a credit card.  Payment records include a code that indicates what type of payment method was used.
personalize The personalize button indicates to a user that they have permission to change the settings associated with the screen they are on to suit their individual needs.  See also configuration.
phones (record) Refers to a phone record within a prospect record that stores information on phone numbers associated with that prospect.  See also prospect and prospect record.  
planned giving The giving of a gift that may or may not result in immediate income, but is always a commitment to give to an organization on a future date, or on a series of future dates.  Planned gifts take on many forms, with one popular example being the bequest of property through a person’s final will.  See also gift.
planned giving (record) Refers to a planned giving record within a prospect record that stores information on planned giving arrangements associated with that prospect.  See also prospect and prospect record.
pledge A gift transaction type that is a commitment to make a payment some time in the future. Pledges can be for one-time (e.g., "I will give $100 in December.") or multiple payments expected over a period of time (e.g., "I will give $10,000 over 5 years, or $2,000 annually.").  See also gift, gifts (record) and gift transaction type.
political activity (record) Refers to a political activity record within a prospect record that stores information such as political party affiliation for that prospect.  See also prospect and prospect record.
populate To insert data into a field.  See also field.
premium An item given as a gift to a prospect, typically as a thank-you for giving a gift or donation, or for participating in an event.  
premiums (record) Refers to a premium record within a prospect record that stores information about premiums given to that prospect.  See also premium, prospect and prospect record.
program An activity that happens at different times, typically in reference to units.  For example, a pledge drive program that is scheduled in the winter for southern units and in the spring for northern units.  See also unit.
project An activity  that involves many elements.  For example, a mailing project involves several materials, tasks, and expenses.
prospect The entity for which a prospect record exists.  A prospect can be one of many entities, including a donor, potential donor, corporation, organization, family, couple, vendor, volunteer and others.
prospect (record) Refers to a record comprised of a variety of sub-type records containing detailed information about the overall prospect.  See also prospect.
prospect summary A screen that displays an overview of prospect information.  The prospect summary screen includes a link to detailed prospect information, and sidebar links for immediate access to a variety of user tasks or further information on a specific aspect of a prospect record.  The prospect summary screen also displays tabs on specific prospect information.  See also prospect record and  tab.

qualified Refers to the default third opportunity pipeline stage in which an organization has contacted the prospect, and determined that they have a level of interest in the organization and potential to fulfill the desired opportunity.  See also opportunity, opportunity pipeline and opportunity pipeline stage.
quick actions Within a prospect summary screen or prospect record screen, a sidebar selection of links that allow a user to complete a variety of tasks related to that prospect record. See also prospect summary and prospect record.

record A collection of fields that constitute any kind of information.  For example, an address record contains fields including street, city, and zip code.  See also field and prospect record.
registration The record of a prospect or a guest associated with a prospect who has signed up to attend an event. A registration record includes information such as what event the prospect has registered for, where and when the event will take place, contact information, or similar data about the registered prospect.  See also event, registration and prospect.
registrations (record) Refers to the registrations record within a prospect record that stores information about registrations made by that prospect.  See also prospect and registration.
remark A remark is the same as a note.  See also memo and note.
reminder An open action record reminding the owner of the record to complete the action.  See also action and owner.
reports A selection of pre-defined reporting options available in the reports library, as well as the ability to build a unique ad hoc report on an as needed basis.
required field A field indicated by a red asterisk that must be populated to save a record.  See also field and populate.
research list (record) Refers to the research list record within a prospect record that stores information about research compiled on that prospect, typically related to an opportunity.  See also opportunity, prospect and prospect record.
results When searching for a value, the record, code, or list thereof are referred to as results.
RSS feed RSS (meaning “really simple syndication”) refers to publishing frequently updated online works into a standardized format.  ClearView offers the “News Updates” panel that allows users to publish headline links from an online source of their choice to be displayed on their dashboard.  See also dashboard and panel.

salutation The prefix of a prospect name, (e.g. “Mr.” or “Dr. & Mrs.”).  See also greeting.
search audit A prospect search option that allows you to find prospects who have had name changes made in their records.  See also prospect and prospect record.
search field - prospect search A search field that appears on the top-right corner of every screen in ClearView used for quick access to performing a prospect search.  See also prospect.
segmentation Refers to the process of assigning appeal codes to prospects selected to receive a mailing.  Prospects are divided into segments for the purpose of targeting each segment with the appropriate mail appeal aimed at that particular group of prospects.  See also appeal, mail (record) and prospect.  
settings - program ClearView program settings allow users to make changes to the way a user interacts with the overall application, such as changing a password or navigation menu preferences.  Settings permissions are set by the ClearView administrator.  
settings - features Settings on any ClearView screen or screen element (depicted by a gear wheel icon) allow users to make changes to the way information is displayed on that screen or screen element.  Settings permissions are set by the ClearView administrator.    
shared address An address that is shared by two or more prospects in such a way that any change to the address of one prospect affects the address of all prospects who share this address.
sitemap A categorical list of features within the ClearView application, accessible by clicking on the sitemap icon from the navigation menu.  See also navigation menu.  
split gift A single payment that is applied to two or more gifts.  Split gifts are processed through batch entry, and each split is assigned a unique transaction number.  See also batch, gift and payment.
soft credit A notation on a prospect’s gift record of another prospect’s hard credit.  A soft credit is applied to a prospect record through a link between two prospects, such as a family or corporate link, or in the case of a matching gift.  Soft credits are also referred to as Gifts (Associated), with the link being defined in the Given By field.  See also corporate link, family link and hard credit.
soliciting Refers to the default fifth opportunity pipeline stage in which an organization has presented the prospect with the concept of the opportunity, directed toward building the prospect’s knowledge of the specific opportunity proposal.  See also opportunity, opportunity pipeline, opportunity pipeline stage and opportunity proposal.
solicitors Refers to the list of all possible owners for prospect records.  See also owner.  
standardization Refers to adjusting address data to meet postal standards, and to append additional information such as country codes.
status bar A color-coded visual indicator appearing to notify a user of successful completion of a task (green), additional information (blue), a warning (yellow), or an error (red).
stewarding Refers to the default seventh opportunity pipeline stage in which the opportunity proposal has been accepted, and the organization is following up with the prospect to ensure successful acquisition of the opportunity.  See also opportunity, opportunity pipeline and opportunity pipeline stage.
subscription A fundraising method that is a purchase rather than a gift, and includes certain benefits, such as a subscription to an organization’s magazine.  Major donors to an organization might be entitled to a "lifetime subscription" after giving a substantial gift.

tab A collection of a certain type of information that makes up part of a program and is organized in a display. For example, the List Manager option consists of two tabs of information: Queries and Lists. In Prospect Summary, the tabs are configurable. See also prospect summary and tab library
tab library When adding a tab to a prospect summary, the tab library houses all of the available tab options and is searchable.  See also prospect summary and tab.  
tag A word or phrase that specifies interests or other personal information related to a prospect; used to search and sort prospects, as well as filter them for reporting or lists. Examples might be tags related to issues (human rights), preferences (vegetarian), hobbies (swimming), etc. See also interest and prospect

tag (record)
A record containing tag information associated with a prospect. See also interest, prospect, prospect record and tag.
token A randomly generated number used in place of more sensitive information, such as credit cards numbers.
touch Any action an organization takes toward a prospect in the form of a phone call, email, letter, or meeting; each point of action constitutes a touch with the prospect.  See also action and prospect.
tracks Any sequence of actions.  A track can be a predetermined sequence of actions, not limited to but often associated with a stage within an opportunity pipeline.  See also action and opportunity.
transaction number A unique identifying number for any record of information.
tribute A donation made on behalf of another prospect.  See also associated party, honor party, memorial party and notify party.
trigger Organizations may define triggers to streamline the implementation of business rules by fulfilling a set of procedures automatically.  For example, entering a new prospect record could trigger the creation of an action to email the new prospect a welcome message.  Triggers happen behind the scenes of the ClearView user interface and are determined and implemented at an organization level.

unit An entity within a fundraising organization with which prospects, gifts, and other types of information need to be associated.  For example, chapters, local affiliates, solicitors, and sponsored individuals could all be considered units.  See also prospect.
user The client or in reference to the individual program user.  See also user menu.
user menu The drop-down menu associated with a user's name that appears on the top-right of every screen within ClearView.  See also user.

VAE screen Stands for “view add edit” screen, or any ClearView screen in which a user can input or change information in fields. Permissions to do so are determined by the ClearView administrator.  See also field.
validated Refers to the default second opportunity pipeline stage in which an organization has verified contact information and determined that the prospect should be pursued by the organization.  See also opportunity, opportunity pipeline and opportunity pipeline stage.
volunteer A prospect who works, generally without compensation, on behalf of an organization or a cause. See also prospect.
volunteers (record) Refers to a volunteer record within a prospect record that stores information related to volunteerism of that prospect, such as available hours and associated events.  See also prospect, prospect record and volunteer.

WealthEngine (company) The manufacturer of WealthEngine software and other solutions for prospect research, modeling, and analytics.
WealthEngine (software) A prospect research application integrated into ClearView that helps organizations accurately identify their best donors and prospects using wealth scores and propensity-to-give ratings.
work history list (record)

Refers to the work history list record within a prospect record that stores information about the employment history of that prospect.  See also prospect and prospect record.

 

privs 32 Privileges to access features or to personalize configurable ones can vary by user, as well as by role, and are determined by your organization.  If you have questions about your privilege settings, contact your administrator.
