Table Maintenance

1. From the drop-down user menu, click Administration.

• The Administration page is displayed. 

2. In Global, click on Table Maintenance. 

• The list of tables displays the labels and amount of codes for each field. 

3. Click the row of the table in which you want to create a new code.

• The list of codes displays all previously saved codes for the selected table. 

Expired codes are hidden by default unless you check the box next to the search field.

4. Toward the top-right corner, select the Create New button. 

• A Create New pop-up displays. 

5. Enter your information into the fields:

• Enter a new code in the Code field. 

The codes are limited to a preset length. This character total varies from table to table. Enter a description of the code in the Description field.

The Description field has a 40 character limit. Optionally, in the Expires field, enter a date or select one from the calendar drop-down menu to set as the expiration date. 

Additional options may display, depending on the table selected, and are used to further enhance the code definition. Also, because ClearView recognizes your organization’s need to personalize certain codes, some of the additional options allow for system code mapping. Use system code mapping to tie personalized codes into ClearView’s standard functionality to achieve accurate results. This would be needed, for example, when producing Opportunity pipeline reports or viewing a prospect’s Touches (Actions) tab. Tables that allow code mapping are Actions, Addresses, Attachments, Outcome Type, Planned Gift Sub Type, and Status.

6. Click the Save button to save any changes, or the Cancel link to return to the previous screen without creating the code.

3. Click the row of the table with the code you want to edit.

• The list of codes displays all previously saved codes for the selected table. 

4. In the Options column click the Tools drop-down menu and select the Edit button. 

• The Edit screen displays.

4. Edit the fields as desired. 

5. Click the Save button to save any changes, or the Cancel link to return to the list of codes without saving changes.

3. At the top of the Table Maintenance screen, click in the Search field and enter a partial or full Table or Label name. Similarly, at the top of the list of codes for a selected table, click in the Search field and enter a partial or full Code or Description.

Expired Codes are hidden by default unless you check the box next to the search field.

1. From the drop-down user menu, click Administration.

• The Administration page is displayed. 

2. In Global, click on Table Maintenance. 

• The list of tables displays the labels and amount of codes for each field. 

3. Click the row of the table from which you want to remove a code. 

• The list of codes displays all previously saved codes for the selected table.

4. In the Options column click the Tools drop-down menu and select the Delete button. 

5. A pop-up window displays to confirm the deletion of the code.

If the code is currently in use, an error message displays. In this case, the only way to delete the code is to remove it from the associated records before attempting to delete it again. 

6. Once confirmed, a status bar states that the code has been successfully deleted.
